An honest look at the tools people switch to when Zapier gets expensive or limiting, what each one does best and how to move your workflows safely.
We build on several of these tools for clients and are not paid by any of them. Plans and pricing change often: check each vendor's current pricing page before you decide.
| Tool | Best for | Watch out for |
|---|---|---|
| Make | Visual multi-step workflows with branching and data shaping, at a lower cost per run than Zapier for most workloads | A steeper learning curve than Zapier |
| n8n | High volume, custom code, AI agents and self-hosting | Asks more of whoever builds and maintains it |
| Microsoft Power Automate | Teams on Microsoft 365, Outlook, SharePoint and Teams | Premium connectors and licensing can get confusing |
| Pipedream | Developers who want code-first workflows with many prebuilt integrations | Less friendly for non-technical teams |
| Activepieces | An open-source, easy builder that can be self-hosted | A younger, smaller integration library |
| IFTTT | Simple personal and smart-home automations | Too limited for most business workflows |
| Workato, Tray.io | Enterprise integration with governance and IT controls | Priced and sold for large companies |
There is no one-click import between these tools. Each Zap is rebuilt. Start with the workflows that use the most tasks, run old and new side by side for a week, then switch off the Zap. Keep a short document of what each workflow does so the next person can maintain it.

FAQs
For most small businesses, Make for visual multi-step workflows at a lower cost, or n8n for high volume, custom code, AI agents and self-hosting. Teams on Microsoft 365 should look at Power Automate first.
The self-hosted editions of n8n and Activepieces can be used without a subscription, but you pay for the server and the time to maintain it. Most cloud tools also have limited free plans.
For most multi-step workloads, yes, because Make charges per operation at a lower rate. For a few simple, low-volume automations, the difference is small.
No. Workflows are rebuilt by hand. Start with the busiest ones, since they drive most of the cost.
