How to choose an
AI automation agency

A practical guide for small and mid-size businesses: what an AI automation agency should do, how the options compare, what drives cost and the red flags to avoid.

Disclosure: Plixail is an AI automation agency. This guide explains how to judge any agency, including us.

What an AI automation agency actually does

For a small business, AI automation usually means software that handles the repetitive parts of the week:

The AI part is often a small step inside a larger workflow built in tools like n8n, Make or Zapier. A good agency spends most of its time on the workflow, the data and the rules for when a person takes over, not on the chatbot.

The five kinds of providers

Best forWatch out for
Do it yourselfOne simple workflow and a team member with time to learn the tool.Fragile builds nobody else understands.
Freelancer or marketplaceA single, well-defined workflow. No documentation or support when that person moves on.
US agencyLarger budgets and on-site meetings.Rates of $100 to $149 an hour (Clutch, 2026).
Nearshore agencyAgency process on US hours at lower rates ($25 to $49 an hour in Mexico, per Clutch).Check English, time zone and billing entity.
Offshore agencyLowest hourly rates.Little working-hour overlap and slower feedback.

What drives the cost

Tool subscriptions should be billed to you directly, at the provider's price. Ask for a monthly running-cost estimate before anything is built.

Red flags

Questions to ask before you hire

  1. Which task would you automate first for us, and why?
  2. Which tool would you use, and what will it cost us each month to run?
  3. Whose name are the accounts and workflows in?
  4. How will we know when something breaks?
  5. When does a person take over from the AI?
  6. What documentation and training do we get at handover?
  7. Can we see work you built for a business like ours?
  8. Who is our contact, and in which time zone do they work?

Start small

Pick one workflow that repeats every day and costs real hours, usually lead follow-up or data entry between two apps. Measure the hours before, build it, and check the run logs a month later. If the numbers hold up, automate the next one.

We are a nearshore team in Mexico working US hours. We build AI automation and n8n, Make and Zapier workflows for small and mid-size businesses, keep every account in your name and quote in writing, in US dollars. If we are not the right fit for your project, we will tell you.

FAQs

Quick answers

It depends on how many systems are connected, the volume of work and whether custom code is needed. Agency rates also vary by country: Clutch's 2026 data puts US agencies at $100 to $149 an hour and Mexican agencies at $25 to $49. Tool subscriptions and AI usage are separate monthly costs.

No honest agency can guarantee revenue. A good one estimates the hours a workflow saves, builds it, and shows you the run logs so you can measure it yourself.

A freelancer can be a good fit for one simple workflow. An agency makes more sense when several systems are involved, when you need documentation and support, or when the person who built it leaving would be a problem.

The task that repeats most often, follows clear rules and costs the most hours or lost leads. Lead follow-up and moving data between apps are the usual winners.
