The two costs every AI agent, chatbot or AI receptionist has, what drives each one, how to estimate the monthly bill yourself and how to compare quotes.
We do not publish our own prices; every project is quoted in writing. This guide explains what drives the cost of any AI agent or chatbot so you can judge quotes, including ours. AI model prices change often: check current provider pricing.
Every AI agent, chatbot or AI receptionist has a build cost (designing, connecting and testing it once) and a running cost (what it costs every month to operate). Many quotes only show the first one.
| Cost | How it is billed | What moves it |
|---|---|---|
| AI model usage | Per token (amount of text processed) | Conversation volume, length, and how much context each answer includes |
| Platform or workflow tool | Monthly plan, often with usage tiers | Number of runs or conversations |
| Phone or SMS | Per minute or per message | Call volume and length (voice agents only) |
| Hosting | Monthly server cost, if self-hosted | Usually small and flat |
| Maintenance | Monthly plan or hourly | How often your offers, policies and tools change |
Model usage is usually the smallest line, but it is easy to estimate:
monthly conversations × average tokens per conversation × price per token
Take an illustrative case: 1,000 chats a month, averaging about 4,000 tokens each including your instructions and knowledge, is 4 million tokens. At a price of a few dollars per million tokens, that is roughly in the tens of dollars a month. Phone minutes and platform plans usually cost more than the model itself.
Ask every vendor for the build cost and an estimated monthly running cost at your volume, in writing. That is how we quote our AI automation projects. See also how to choose an AI automation agency.
FAQs
It has two parts: a one-time build cost, driven by how many tools it connects to, how much it needs to know and how many channels it runs on, and a monthly running cost for AI model usage, platform plans, phone minutes and maintenance. Ask for both in writing at your volume.
For a typical small business volume, AI model usage is often a small line, in the tens of dollars for a thousand conversations, while platform plans and phone minutes usually cost more. Your actual cost depends on volume and conversation length.
Usually, because voice adds per-minute telephony costs and more testing for call transfers and emergencies.
Because scope varies: a website FAQ bot and an agent that books, updates a CRM and follows up by SMS are very different builds. Compare quotes on the same scope and ask for running costs.
Tell us what the agent should do and your volume. You will get the build cost and an estimated monthly running cost, in writing.
