Most small businesses need far fewer AI tools than they think. One general assistant for writing and research, AI inside the tools your team already uses, and one automation tool to connect them cover most of the value. Buy for a specific task you repeat every week, not for a feature list.
| Job | Common tools | What it saves |
|---|---|---|
| Writing and research | ChatGPT, Claude, Google Gemini, Microsoft Copilot | First drafts of emails, proposals, posts and summaries |
| Meetings | Zoom AI Companion, Microsoft Teams with Copilot, Otter, Fireflies | Notes, action items and follow-up emails after calls |
| Customer support | Intercom Fin, Zendesk AI, Tidio, a custom chat assistant | Answers to repeat questions, ticket triage and routing |
| Sales | AI features in HubSpot, Salesforce and Pipedrive; AI email assistants | Lead research, follow-up drafts, call summaries in the CRM |
| Automation | Zapier, Make, n8n, Power Automate | Moving data between tools and triggering AI steps without copy and paste |
| Documents | Adobe Acrobat AI Assistant, Google NotebookLM, AI document extraction | Reading contracts, invoices and forms, pulling out the fields you need |
For a team of five to fifty people, a typical starting point is one general assistant on a business plan, the AI features in your email and meeting software turned on, and one automation tool connecting your forms, inbox and CRM. Add specialist tools only when a task clearly needs one, such as a help desk AI for a team answering hundreds of tickets a week.
Off-the-shelf tools work inside one app. The bigger wins usually come from connecting them: a lead form that gets an AI-drafted reply in a minute, a support inbox that sorts itself, invoices that land in your accounting tool without typing. That is where AI automation fits. If you are not sure where to start, AI consulting can rank your tasks by time saved before you buy anything. See also ChatGPT for small business.
FAQs
There is no single best tool. For most small businesses the best start is one general assistant on a business plan, such as ChatGPT, Claude, Gemini or Copilot, plus the AI features already included in the software you pay for.
Free and personal plans may use your inputs to improve the vendor's models unless you turn that off. For customer data, contracts or anything confidential, use a business plan whose terms exclude your data from training.
Usually two or three: a general assistant, AI inside your existing tools, and one automation tool to connect them. More tools mean more logins, more cost and more places for data to leak.
Pick one repeat task, time it before and after for two weeks, and compare the hours saved with the monthly cost. Keep the tools that pay back and cancel the rest.
