What a workflow automation tool does

A workflow automation tool connects the apps you already use and moves information between them without anyone copying and pasting. A typical workflow: a new lead fills in your website form, the tool adds it to your CRM, texts the lead, alerts your sales rep and creates a follow-up task. The tool runs that every time, day or night.

How to choose a workflow automation tool

  1. Start with the process, not the tool. Write down the steps a person does today, how often, and what goes wrong.
  2. Check the apps. Make sure the tool connects natively to your CRM, email, calendar, forms and accounting software.
  3. Estimate volume. Count how many times each workflow will run a month and price it under each tool's billing model.
  4. Decide who maintains it. The best tool is the one your team, or your provider, can keep running when something changes.
  5. Plan for errors. Look at how each tool alerts you when a step fails and how easy it is to re-run.

Where AI fits

Modern workflow tools can call AI models in the middle of a workflow: to sort incoming emails, extract data from documents, draft replies or decide which path a request should take. Keep a person in the loop for anything involving money, promises or sensitive decisions. Our AI automation service builds these.

How long setup takes

A single, well-defined workflow such as form to CRM to instant reply is usually a matter of days, including testing. A set of connected workflows across sales, operations and billing takes longer, mostly because of decisions about rules and exceptions, not the tool itself. Writing the process down first is the fastest way to shorten any project.
