An honest look at the tools teams choose instead of n8n, what each does best and when n8n is still the right call.
We build on n8n, Make and Zapier for clients and are not paid by any of these vendors. Plans and pricing change often: check each vendor's site before you decide. Facts checked on 4 November 2026.
| Tool | Best for | How it differs from n8n |
|---|---|---|
| Make | Visual multi-step workflows built by non-developers | Fully managed, very visual canvas; bills per operation or credit rather than per workflow run |
| Zapier | The fastest setup and the largest app library | Easiest for beginners; bills per task, which gets expensive at volume |
| Pipedream | Developers who want code-first workflows | Write steps in Node.js or Python with many prebuilt integrations; less friendly for non-technical teams |
| Activepieces | An open-source, beginner-friendly builder | Open source and self-hostable like n8n, with a simpler builder and a younger integration library |
| Microsoft Power Automate | Teams on Microsoft 365 | Deep Outlook, Teams, SharePoint and Excel support; licensing and premium connectors can be confusing |
| Windmill | Engineering teams building scripts, flows and internal tools | Open source, script-first (Python, TypeScript and more); aimed at developers, not business users |
| Node-RED | IoT, devices and on-premise integrations | Open-source flow-based tool that runs almost anywhere; few ready-made business app integrations |
n8n stays hard to beat when workflows are long, volume is high, you want custom code or AI agents inside workflows, or you want the option to self-host. See n8n pricing for how its billing works.
Four of the seven tools above (Activepieces, Windmill, Node-RED and n8n itself) can run on your own server. That gives you control over data and a flat infrastructure cost, but someone has to update, secure and back up the server. Managed tools (Make, Zapier, Power Automate and Pipedream's cloud) remove that work in exchange for usage-based pricing.
A practical rule: if nobody on your team, or your provider, maintains servers today, start with a managed tool. Move to self-hosting only when the monthly bill or a data requirement makes the extra work worth it.
There is no one-click migration between these platforms. Each workflow is rebuilt. Start with the workflows that cost the most or break the most, run old and new side by side for a week, then switch off the old one. Keep a short document for each workflow so the next person can maintain it.

FAQs
For non-technical teams, Make or Zapier. For developers, Pipedream or Windmill. For an open-source, self-hostable option with a simpler builder, Activepieces. For Microsoft 365 teams, Power Automate.
Activepieces, Windmill and Node-RED are open source and can be self-hosted without a subscription. You still pay for the server and maintenance. Most cloud tools have limited free plans.
For most non-developers, yes. Make's visual canvas is easier to learn, while n8n offers more control, custom code and self-hosting.
Not automatically. Each workflow is rebuilt on the new platform; start with the busiest ones.
